About the role

Winning Quest is a commerce coaching institute in Kharar, teaching students from Class 9 through to B.Com, BBA, M.Com and MBA. As the institute grows, we need someone to own the administrative side of the day: documents, records, schedules and correspondence.

This is a remote role with flexible hours: you work from home and plan your day around the work. You will work directly with the institute’s management. On a typical day you might draft a notice for parents, update student records, set up next week’s staff meeting and pull together a short summary for management. The work is varied, and it rewards people who like order, accuracy and getting things finished.

What you'll do

01 Documents and correspondence

  • Draft, edit and format letters, notices, memos, reports and other documents for the institute's management.
  • Handle routine correspondence and general administrative enquiries, and pass on anything that needs management's attention.
  • Sort and route incoming correspondence to the right people, and keep a record of outgoing communication.

02 Records and filing

  • Keep electronic records, files and databases for students, staff and administration accurate and up to date.
  • Organise and maintain the digital filing system so every document is stored consistently and easy to find.
  • Follow up with staff on pending forms and documents until every record is complete.

03 Scheduling and meetings

  • Schedule meetings and appointments, and keep staff schedules and the administrative calendar current.
  • Prepare meeting agendas, and take and circulate minutes when required.

04 Reports for management

  • Collect information from different departments and turn it into clear reports and summaries.
  • Maintain spreadsheets and prepare administrative summaries that help management track ongoing work.

What we're looking for

  • Clear, correct written English for letters, notices and reports.
  • Confident with Word or Google Docs, and Excel or Google Sheets (formatting, sorting and simple formulas).
  • Well organised, with an eye for detail and the habit of seeing tasks through to completion.
  • Polite, prompt communication with parents, staff and management.
  • Discretion with confidential student and staff information.
  • Your own laptop or computer and a reliable internet connection.
  • Comfortable working independently and staying in touch over email, phone, WhatsApp and video calls.

Nice to have

  • Previous experience in an office, front desk or administrative role.
  • Experience working in a school, college or coaching institute.
  • Comfortable speaking Hindi or Punjabi with parents and staff.
